Unlock your business potential with simplicity
By Trevor Salway, National Marketing Manager, Xerox Canada
Saving money, improving workflows and increasing productivity are, of course, important to any business. One thing, though, that is often overlooked — yet critical to meeting these other goals — is simplicity.
If employees don’t know how to do something and it’s way too complicated to figure out on their own (such as printing from their mobile phone), there’s a good chance they won’t bother with it, and revert back to archaic, less efficient ways of doing things.
Simplicity can improve workflows and increase productivity, and it can also boost your bottom line. In a recent article published in Forbes, Revlon’s senior vice-president and CIO David Giambruno says he instituted a philosophy of simplicity to achieve greater command of technology and deliver more for the business with no increase in costs.
So if simple equals better, why isn’t everyone doing it? Simplicity often seems elusive in today’s business world, where employees operate beyond their cubicle walls and outside of 9-5 work schedules — often on multiple devices that they’re using for both personal and business purposes. For IT, life is getting more complex.
Mobility, in particular, has changed where and how business gets done. That’s why it’s more important than ever to look for technology solutions that provide consistency across platforms — to enable simplicity.
At Xerox, for example, our ConnectKey multifunction printers offer fully integrated mobile, scanning and cloud-based solutions, designed with simplicity in mind.
Mobile printing offers convenience and productivity benefits, but has traditionally caused a lot of headaches for IT — not to mention anxiety for users. Look for a solution that allows you to print from smartphones and tablets, as well as PCs and laptops — with true native Microsoft Office conversion so you can print documents (including Excel spreadsheets and PowerPoint presentations) without losing your formatting.
Xerox Mobile Print solutions are designed to help connect mobile devices to almost any network printer or MFP. You can submit your documents through email or by using our applications, without client software or a print driver download.
This is particularly handy for organizations that have a BYOD policy, simplifying the administration process. And IT can manage this on-site or even over the cloud through our hosted offering.
Another issue is document workflow, which is often a complicated, time-consuming process. Automation can help simplify workflows and prevent employees from drowning in a sea of paper.
ConnectKey for SharePoint, for example, provides a productive workflow solution that’s easy to set up, easy to use and easy on the budget. It’s all about simplicity: While it used to take multiple steps to manually convert paper files to digital, ConnectKey for SharePoint allows you to directly route documents to existing SharePoint libraries and Windows folders, creating searchable PDF documents.
For Mac users, AirPrint is an Apple technology that lets you print without the need to download or install drivers. AirPrint is built into many printer models from popular printer manufacturers; just select an AirPrint printer on your network and print from your iPhone or iPad. (Xerox is one of two traditional players in the A3 space to be certified by Apple.)
If you’re looking to cut costs and make your workforce more productive, simplification can help you get there. From mobile print to automated workflows, simplicity allows employees to access convenient print solutions when they need them, wherever they need them. Sound simple? It is, actually.
